Planning a Assisted Living Facility Move

An assisted living community has two different move lists. The administrator may need to shift reception, staff offices, a dining room, or an activity space. At the same time, a resident may be moving into another room or arriving from home with a family member who knows where familiar belongings should go.

We ask the community to mark its movable inventory by department and destination. The administrator chooses which shared areas can be closed for a move and which routes must stay open. Resident-room work starts with a separate room list agreed with the resident and family: the bedside table, favorite chair, photographs, and clothing go where they expect them. Our crew moves and places those belongings; facility staff handles care arrangements and decides when a room is ready for occupancy. Families planning only the personal transition can also see our senior moving service.

Timing that works
Schedule shared-space work around meals, activities, and visiting hours; give each resident-room transition its own agreed arrival window with the family.

What typically moves

  • Reception counter sections and visitor seating Freestanding pieces move to the administrator's new entrance layout; the facility directs visitor traffic while the counter is unavailable.
  • Administrator desks and staff filing cabinets Each desk and cabinet gets an office destination. Staff decide what records to pack and keep personal or sensitive files under their control.
  • Dining-room tables and sideboards The dining lead identifies pieces that can leave service and the layout needed before the room is used again.
  • Activity-room craft cabinets and game carts Movable units travel with their contents packed by activity area, so staff can set out the materials they need.
  • Resident bedside tables and familiar chairs The family identifies what travels and where it belongs in the new room; we label and place each piece to that plan.
  • Resident clothing cartons and framed photographs Personal cartons carry the resident's destination room. Families can pack keepsakes themselves and point out photographs to protect separately.

Access and scheduling

The community's daily pattern sets the route. Meals, activities, medication rounds, and visitors can all use the same corridor that a moving cart needs. The administrator tells us which halls remain open and when a shared room may be emptied. We can discuss an evening or weekend window for office and common-area work, subject to the building's access rules. If residents remain on the floor, we stage away from their doors and follow the facility's order.

Resident-room transitions need a separate conversation with the family. The room may be physically open while staff are still preparing it, so the community confirms when delivery can begin. At both ends, we check door widths, elevator use, loading access, and whether the building requests a Certificate of Insurance. A family's pickup and arrival details belong on that resident's list.

Protection and handling

For shared rooms, we label freestanding pieces to the administrator's floor plan before they leave their current positions. Dining tables and activity cabinets are padded, and carts are secured so loose materials do not shift in the carry. Staff can check the dining or activity setup after placement and tell us whether movable pieces need adjusting before the space returns to use.

Personal belongings receive a different check. We confirm the resident's room number with the family and place labeled cartons and familiar pieces where the resident expects them, leaving walking space for staff and mobility aids. The family decides what is packed and what should remain close at hand. Facility staff manages medications, care supplies, and occupancy decisions. A bed or lift that requires manufacturer preparation or service goes through the facility's equipment provider; we coordinate our carry and placement around that provider's work.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Resident care beds, lifts, and serviced mobility equipment
The facility's equipment provider confirms preparation, transport requirements, setup, and use checks. Our crew moves agreed personal furnishings and keeps access clear for that provider.
Resident care arrangements and room readiness
Facility staff decides when the room is ready and handles medications and care supplies. We place the approved movable inventory after staff release the room for delivery.
Personal belongings and final room layout
The resident and family choose what comes and where familiar pieces belong. We pack on request, carry the listed belongings, and place them to that room plan.

Not part of our work

  • Handling medications, setting up care supplies, or deciding when a resident can occupy a room; facility staff directs those steps.
  • Preparing or testing serviced care beds and lifts; the facility arranges its equipment provider.
  • Sorting a resident's personal belongings without the resident or family's direction.

Around San Antonio and the Hill Country

In San Antonio, a community near Stone Oak or the South Texas Medical Center may share loading access with visitors and service deliveries. Around Boerne and Kerrville, the route from parking to a resident wing can be just as important as the truck approach. We ask about the entrance and internal route before setting the move sequence.

Assisted Living Facility Moving FAQs

Another question? Call (830) 329-7272.

Can you move our dining room while residents continue using the community?

We can plan around the meal schedule the community gives us. Your administrator identifies which tables and sideboards can be released and where residents will dine while the room is unavailable. We then label pieces to the new layout and use the approved carry route. Staff checks the finished arrangement before the room returns to service.

How do you separate a resident's belongings from the facility inventory?

The facility inventory uses department and destination labels. Each resident has a separate list with a room number and the family contact who approves placement. We confirm those lists before loading and keep personal cartons grouped with that resident's furnishings. At delivery, the family can direct the placement of photographs, clothing, and other familiar things.

Who decides when a new resident room is ready for delivery?

Facility staff makes that call and tells us when the room can receive belongings. A family may have packed everything, but the space may still need preparation or an equipment provider's visit. We set the arrival window after the community confirms access, then place the family's listed items so staff can still reach the bed and walking route.

Can a family bring furnishings from home while our offices are moving?

Yes, if the administrator approves a separate delivery route and arrival time for that resident. We keep the home's pickup list apart from the community's office list and label each piece for the assigned room. The family decides what comes from home and where it belongs; the facility confirms room access and any restrictions on the furnishings.
