Planning a Public School Move

A public school can look empty for the summer while several schedules compete for the same halls. Custodians may be stripping floors and maintenance may be working in classrooms. Your facilities lead decides which buildings and wings can be released and when. We turn that release plan into a room-by-room moving sequence instead of treating the campus as one large load.

Before a date is set, your district purchasing office may need a written scope, vendor setup forms, and an issued purchase order. We can provide the move details your office requests and wait for its authorization before scheduling work. The estimate should identify what travels from each building and where it lands, including rooms that are being renumbered. Then we map classroom contents to the destination list your campus provides: student desks, teacher stations, bookcases, instructional bins, and shared resource rooms. For a broader view of campus moves, see education and civic moving.

Timing that works
The summer break is the main move window; custodial cleaning, floor work, teacher access, and campus reopening each affect when a wing can be released.

What typically moves

  • Student desks and classroom chairs Grouped by assigned classroom and marked for the destination wing, with any surplus separated from rooms being set up.
  • Teacher desks and mobile lecterns Drawers are emptied or secured as agreed; each station follows the teacher's room assignment rather than a generic grade-level pile.
  • Classroom bookcases and reading-corner shelves Loose books are packed by shelf or classroom, and freestanding units are measured against the receiving doorway.
  • Manipulative tubs and instructional supply carts Lids and cart drawers are secured, with labels that distinguish shared materials from a single classroom's stock.
  • Music stands and instrument cabinets Cabinets and stands can travel under the room plan; your music staff directs the handling of instruments.
  • Library tables and mobile book carts Carts stay with the library destination, while the librarian sets the order for any collection being packed.

Access and scheduling

Start with the district's purchasing path. Send us the campus inventory, destination list, and quote format your office requires. We can return a written scope and complete vendor setup documents the district provides. Your purchasing office decides when a purchase order is issued; we schedule against that authorization and approved campus access dates. If room assignments change the scope, purchasing should approve the change before added work begins.

Summer access is not a single open block. Ask the facilities lead to mark the days each wing is clear of floor finishing, summer programs, maintenance, and teacher setup. We walk the loading route, check gates and door widths, and identify where trucks may stage without crossing active campus work. The school sets visitor sign-in and escort rules, and we plan crew access within those rules. A wing release sheet confirms what is ready to leave and what must remain in place.

Protection and handling

Classrooms repeat the same furniture shapes, so the room identifier matters more than the item name. Before loading, we mark each piece and carton with its origin building, wing, room, and assigned destination. The campus supplies the final room map, including changed room numbers; our crew uses it to build loads in delivery order. A class set stays together even when the receiving building has a different wing layout.

We pad desk and shelf edges, secure loose parts, and protect turns where carts pass painted door frames. Freestanding bookcases are emptied before they are carried; classroom bins are closed and labeled. At delivery, we place pieces in the indicated room and leave the campus lead to confirm the setup. Your technology team handles device accounts, network connections, and mounted classroom equipment. If included in the district's scope, our crew can unplug, pad, move, and reconnect teacher computers, monitors, and printers at their assigned desks.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Interactive displays, projectors, and mounted classroom equipment
The district technology team or its equipment vendor removes, transports, reinstalls, and tests these systems. Our crew keeps the furniture route clear for their work.
Classroom assignment and wing release map
The principal or facilities lead approves room destinations and releases each wing. We label and place movable contents against that approved map.

Not part of our work

  • Choosing what student records to retain, opening record cartons, or deciding who may access them; district staff control those materials.
  • Removing fixed shelving, built-in casework, or wall-mounted teaching equipment; district maintenance or its vendor handles those fixtures.

Around San Antonio and the Hill Country

San Antonio campuses can have separate classroom wings, portable buildings, and shared loading approaches, while a Hill Country school near Boerne, Kerrville, or Fredericksburg may spread rooms across a smaller site. In either setting, the district's campus map and gate plan determine the carry route; street access alone does not show where a classroom load belongs.

Public School Moving FAQs

Another question? Call (830) 329-7272.

Can our ISD issue the purchase order after reserving the summer date?

Give your purchasing office the proposed scope early so it can complete vendor setup and issue the purchase order before the move is scheduled. We can supply the written move details and forms it requests. The district controls its own approval process, so your facilities lead should align the requested date with purchasing and the campus release calendar before teachers are given a move schedule.

How do you keep classrooms from different wings from being mixed together?

Your campus provides a destination list showing each origin room and its receiving room. We mark desks, shelving, carts, and cartons with building, wing, and room identifiers, then organize loading around the receiving sequence. If the new building changes room numbers, the crosswalk belongs on that list. The campus lead can review each wing's placement against it before the next wing arrives.

What if custodial floor work overlaps our classroom move?

Ask the facilities lead to identify which corridors and rooms are closed for cleaning, coating, or drying. We can sequence a different released wing first and return to the affected area when facilities clears it. The campus decides when the floor is ready for carts and furniture; our route plan follows that decision so the move does not interfere with the floor crew.

Who moves the classroom displays and reconnects teacher computers?

Your technology team or its equipment vendor should handle mounted displays, projectors, network connections, device setup, and testing. For desk-level computers, monitors, and printers, our crew can physically disconnect, pad, move, and reconnect them when the district includes that work in the scope. Give us station labels and the technology team's sequence so each device lands with the correct teacher station.
