How We Plan Decommissioning & Donation Coordination

At lease end, two identical task chairs can have different destinations. One goes to another office; the other is surplus and may be offered to a recipient your team selects. The landlord's restoration checklist asks which movable contents must leave before repairs and the final walk-through. Your facilities lead answers before the crew starts clearing rooms.

We turn your approved inventory into a destination plan: keep, transfer, offer for donation, send to your selected recycler, or leave in place with written landlord agreement. A donation offer is not an accepted delivery, so confirm each recipient's address, receiving hours, and acceptance terms. If a recipient declines a piece, your contact chooses its next destination. We can carry released furnishings to the destinations in the plan, then identify anything we could not clear as listed.

Our work concerns movable contents. Your lease contact interprets the restoration terms, and the landlord checks the suite at handoff.

Timing that works
The outgoing lease sets the access cutoff and landlord walk-through; recipient acceptance and restoration work need separate slots before handoff.

What typically moves

  • Surplus task chairs and guest seating Group by approved recipient and condition; confirm the receiving party will take the selected pieces before loading.
  • Conference tables and meeting-room credenzas Keep leaves and hardware with each table, then mark whether it transfers, goes to a recipient, or stays by landlord agreement.
  • Freestanding reception and lounge pieces Pad finished edges and tag each piece to its approved destination rather than treating the lobby as one clearing pile.
  • Mobile pedestals and lateral file cabinets Your staff empties sensitive contents; the cleared cabinets receive destination labels before they leave the work area.
  • Break-room tables and freestanding cabinets Separate movable furnishings from connected appliances or built-in casework reserved for a trade or restoration contractor.
  • Freestanding shelving and display units Box loose shelves and fittings with the matching unit; your landlord checklist determines whether attached pieces remain.

Access and scheduling

The lease handoff date is fixed, and recipient availability and the landlord's inspection window have to fit in front of it. Your contact supplies the restoration checklist and identifies rooms a contractor needs first. We clear those rooms while keeping undecided items out of the load. A recipient's receiving hours may differ from the building's moving hours, so confirm both before assigning a route.

Ask the building manager about dock reservations, freight elevator access, loading restrictions, and a Certificate of Insurance. An evening or weekend window may be available on request if shared corridors must remain clear during business hours. We need a place to stage approved outgoing pieces and a contact who can resolve an unmarked item. Your team arranges recipient appointments and required paperwork; we plan pickup and delivery around those instructions.

Protection and handling

We label each released piece with its disposition group and destination, then separate donation loads from transfers and recycling loads. Pads protect table edges and finished surfaces; shelves, drawers, and fittings stay with their parent units. We protect the carry path and avoid rooms released to the restoration contractor. We compare cleared movable inventory with your approved list and flag exceptions.

A vacant floor is not necessarily a restored floor. Wall anchors, wiring, attached millwork, patching, and paint belong in the landlord checklist and the contractor's scope. We can point out a remaining attached item without removing it. If a recipient rejects a chair or cabinet, the crew contacts your decision maker for a revised destination; your team chooses where that piece goes. The landlord and tenant representative decide whether the suite meets lease handoff requirements.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Donation and recycling recipients
Your team selects recipients, confirms what each accepts, and supplies receiving instructions. We can transport approved movable pieces to those confirmed destinations.
Lease restoration and final acceptance
Your lease contact and landlord agree on required work; their contractor handles repairs and attached improvements. We clear listed movable furnishings and flag exceptions.
Connected fixtures or equipment
The appropriate licensed trade disconnects building services and releases any connected piece. Our crew handles only movable items included in the approved carry plan.

Not part of our work

  • Choosing a donation organization or recycler, deciding whether an item qualifies for acceptance, or representing that a recipient will take it.
  • Interpreting lease obligations, repairing walls or floors, or certifying the landlord's restoration checklist as complete.
  • Removing attached improvements or disconnecting building utilities; those tasks belong to the landlord's contractor or a licensed trade.

Around San Antonio and the Hill Country

Around San Antonio, school districts, nonprofits, and congregations may accept used office furniture, each with its own acceptance rules, pickup days, and loading doors; your team confirms them. A downtown tower exit needs a dock slot even when the floor is nearly empty. For a Boerne or Kerrville exit, the recipient may be in San Antonio, which adds a leg.

Decommissioning & Donation Coordination FAQs

Another question? Call (830) 329-7272.

Who decides which surplus desks go to a donation recipient?

Your facilities lead decides which pieces to offer and chooses the recipient. Ask the recipient to confirm condition requirements, available space, address, and receiving hours before those desks enter the load plan. We can label and transport accepted pieces according to that plan. If the recipient changes its answer, your contact gives us a different destination.

Can the crew clear furniture while our restoration contractor starts work?

Yes, if your contact marks the rooms the contractor needs and the building permits both activities. We can clear those rooms first and keep carry routes apart from active repair areas. The contractor handles attached items and repairs; we handle movable furnishings on your list. Tell us when a room changes hands so the load sequence matches the actual work area.

What happens to a chair that the recycler or donation recipient refuses?

We ask your designated contact for a new instruction before treating the chair as part of another load. Your team may choose a different recipient, arrange its own pickup, or assign another lawful destination. Confirming acceptance in advance reduces those decisions at the dock, but the recipient makes the final decision about what it receives.

Will you sign off that our suite meets the landlord's restoration checklist?

The landlord and your lease signatory make that determination. We use the checklist to identify movable contents that must be cleared before the walk-through, then report listed items that remain or need a decision. Repairs, attached improvements, and final condition approval sit with the restoration contractor and the parties to the lease. Schedule their inspection after the clearing work.
