At the old office, the decision starts with your files: which closed client-file boxes go to the new address, which working files need a desk on arrival, and which records your firm has approved for destruction. Staff make those calls and close the cartons. We label the boxes you authorize for the move by destination work area and place them against your shelf plan. Your secure-shredding vendor collects destruction material under the arrangement your firm makes with that vendor. Your administrator obtains the old and new building rules, including loading access, elevator reservations, parking instructions, and the hours allowed for carts or tools. For a managed office building, ask whether management requires a Certificate of Insurance before a dock reservation. At the destination, we need a clear route from the unloading point to the assigned file room and tax work area. Schedule the shredding vendor's pickup separately from our loading window, with your records lead available to identify material for that vendor.

Protection and handling

Client-file boxes enter the moving plan only after your firm has selected, packed, and closed them. Use a room or shelf code on the outside rather than a client name. We can carry those closed cartons in grouped loads and place them at the destination codes your staff provides. Material selected for destruction remains in the firm's designated area for its shredding vendor, away from cartons marked for the new office.

For the rest of the suite, we pad desk edges and credenzas, protect the carry path, and mark removable pieces so they return to the right workstation. Can we plan the relocation now but keep January through April 15 off the move calendar?

Yes. Your administrator can set the blackout before we discuss an actual loading date. We can survey furniture, measure file areas, and draft destination room codes ahead of time. Your firm then releases work areas for packing after its filing rush, accounting for extensions, payroll, and client meetings before confirming the move window.

Where do clients drop off documents while our office is being packed?

Keep the drop-off counter or document slot working until the last day, and have staff empty it before the crew packs that area. It can be the last piece loaded and the first placed at the new office. Post the new address early for clients still sending K-1s and extension paperwork; anything that arrives mid-move goes to your staff.

Should we purge old client files before or after the move?

Before is usually simpler: every box your firm destroys under its retention policy is one less box to pack, carry, and shelve. Book the shredding vendor's pickup ahead of our packing days and keep that material in its own area until the vendor collects it. Your firm decides what is eligible; we move only the boxes marked for the new office.

Can tax-preparation stations be set up before the archive shelving?

They can be the first placement priority if your floor plan and unloading route allow it. Identify the desks, monitors, scan stations, and working-file cartons needed for that area, then give each a destination code. We can place those items before closed archive cartons; your IT contact handles accounts and shared connections once the equipment is positioned.
