Planning a Dental Office Move

Relocating a dental practice is two moves sharing one weekend. The first belongs to your equipment dealer: chairs, delivery units, operatory lights, imaging, the compressor, and the vacuum pump, all plumbed, wired, or calibrated and released only by the people who service them. The second belongs to us: the reception desk, waiting room, operatory cabinetry that is not plumbed in, the sterilization center, the lab, the business office, and a supply room that always holds more boxes than anyone expects.

We plan both halves with your practice administrator. The dealer's disconnect and reinstall dates set the edges; our crew fills the time between, so casework is standing before the technicians arrive to set chairs. Every operatory gets a number, and everything that belongs in it is labeled to match. The test is simple: can hygiene seat the first patient on reopening day in a room that feels like theirs? It is how we approach healthcare moves generally.

Timing that works
Close after the last Friday patient, move over the weekend, and stay clear of month-end, when the business office is closing out insurance claims.

What typically moves

  • Reception desk and check-out counter Modular desks come apart and go back together; built-in counters stay unless your lease says otherwise. Card terminals and phones are tagged to their station.
  • Freestanding operatory cabinetry and mobile carts Anything not plumbed or bolted in moves with drawers taped, labeled to the operatory number it came from.
  • Sterilization center cabinets and cassette racks Cabinet runs and racks move as a set. The autoclave waits for the dealer to release it.
  • Lab bench, stone models, and case trays Models and trays are boxed by case number so the lab shelf rebuilds in the same order.
  • Supply-room shelving and consumables Gloves, bibs, and restorative stock are boxed by shelf with contents written on two sides before the wire shelving comes down.
  • Business-office desks and locking file cabinets Locked cabinets travel locked. Insurance binders and billing files ride with the desk they serve.

Access and scheduling

Most practices see patients through Friday and reopen Monday, so we build the plan backwards from the first appointment. Your dealer usually needs time to disconnect and a longer visit to reinstall and test, and we confirm their dates before ours.

Access changes with the building. A suite in a medical office building often needs a reserved freight elevator, a dock slot, and a Certificate of Insurance naming the building and its management company. A strip-center practice has one front door, a narrow rear hall, and a parking lot shared with neighbors on Saturday morning. We ask for the building rules, measure the tight turns into operatories and the sterilization bay, and size the crew to the doorways as well as the inventory.

Protection and handling

Operatory and sterilization cabinets are emptied by your team or ours, drawers are taped or pulled, and each cabinet is pad-wrapped and carried upright. Loose countertops travel on edge, and waiting-room art and framed certificates go into picture cartons. Instrument cassettes ride in closed totes marked with their operatory number. Front-desk computers and monitors are disconnected, padded, and reconnected at their new stations, while your IT contact handles the practice-management server and network.

The line between our work and the dealer's is written into the plan. If a unit is plumbed, it stays put until the dealer releases it; after that, we move it on their instructions or they move it themselves. Anything holding patient information is sealed by your staff and moved exactly as handed over.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Chairs, delivery units, operatory lights, compressor, and vacuum pump
Your dental equipment dealer disconnects and reinstalls them. Our crew carries a unit only after the dealer releases it, following their instructions.
X-ray heads, panoramic, and cone-beam units
The imaging vendor or manufacturer technician, including calibration and any paperwork the new address requires.

Not part of our work

  • Opening, sorting, or inventorying charts, drives, or records boxes. Records stay under the practice's control.
  • Controlled substances and prescription pads, which the dentist of record transports.

Around San Antonio and the Hill Country

San Antonio dental suites sit in very different buildings: medical office towers around the South Texas Medical Center off Wurzbach and Fredericksburg Road, strip centers along 281 in Stone Oak and on Bandera Road, and converted houses near Alamo Heights. Toward Boerne, Kerrville, and Fredericksburg, many practices are single-story buildings with a rear service door. Each shapes where the truck parks and how long the carry runs, which is why we look before we quote.

Dental Office Moving FAQs

Another question? Call (830) 329-7272.

Should our dental equipment dealer or your crew move the chairs and delivery units?

Your dealer should disconnect them, since chairs and delivery units are plumbed and often carry service-contract terms. Once the dealer releases a unit, we can move it following their instructions, or their own team can transport it. Either way, both schedules go into one written plan so the reinstall lands when the operatory is ready.

Can the hygiene rooms be ready before the doctor's operatories?

Yes, if that is how your schedule reopens. Every room is numbered, and we load in the order you choose, so hygiene operatories, sterilization, and the front desk arrive first while the doctor's rooms and the lab follow. Give your dealer the same sequence so chair installs match it.

What should our staff pack themselves before the practice moves?

We suggest your team pack and seal anything with patient information, controlled items, the doctors' desks, and personal belongings. Our crew can pack the supply room, lab shelving, break room, and front-office supplies, labeling each box to its room and shelf. We can drop off packing materials ahead of time if your staff are doing part of it.

Our new suite is still being built out. How do we pick a move date?

Book a target date and a backup. Build-outs often slip on inspections and punch lists, so we reconfirm once your contractor and dealer agree the operatories are ready for chairs. If the old lease ends first, ask us about short-term options for boxed items and furniture.

Plan your business move

Tell us both addresses, the building rules you know about, and the dates you cannot move. We will send back a written plan and estimate.
