Planning a Event Venue Move

A venue's calendar determines when its inventory is available. A banquet room can look empty after guests leave while chair stacks, table carts, stage sections, and presentation gear still have to support the next setup. Your events director decides which booking is the last at the old address and which room must be ready first at the new one. We use those decisions to define the load.

We map inventory by its working location: ballroom, ceremony space, green room, storage closet, or outdoor event area. Folding tables stay identified to their carts; chair stacks keep their assigned room; loose stage decks and steps travel with matching hardware. Event supplies are marked for the setup that needs them, rather than packed as one storeroom.

Connected sound, lighting, and projection equipment needs a separate plan with your AV provider. We coordinate movable pieces around that provider's removal and test dates. If an event is already booked at the new venue, its room setup decides what rides on the last truck.

The walkthrough follows the cart route from storage to loading door and from receiving door to destination. We check ramps, floor transitions, doorway widths, dock access, and where carts may stand without obstructing a vendor. At a shared property, the landlord sets loading hours and may request a Certificate of Insurance. Tell us whether caterers, decorators, or the AV provider have overlapping access; we can plan a separate lane or time. The events director approves room release and layout before loading.

Protection and handling

Venue inventory is handled repeatedly, so its usual cart and storage position matter. We secure folded tables on their carts, pad exposed edges, and keep chair finishes from rubbing against metal cart frames. Stage decks are protected along corners; removable legs, clips, and skirting travel in closed containers labeled to their sections. Fabric drape is packed apart from weighted bases and poles.

At delivery, the room plan sends each cart and case to a ballroom, ceremony space, or closet. Your AV provider disconnects, reinstalls, and tests mounted or wired sound, lighting, and projection systems. Our crew can carry portable screens and closed road cases the provider has released, with destinations marked before loading. Your team decides when each event area is ready for vendor setup.

Can we keep enough banquet inventory for our final booked event?

Yes. Have your events director mark the tables, chair stacks, and stage kit required for that setup before the move list is finalized. We can move the remaining released inventory separately, then collect the reserved pieces after event breakdown. The receiving list should also mark what the first event at the new venue needs so those carts are placed within reach.

How will the stage decks and their fittings stay together?

Your setup lead provides the stage layout and identifies which decks, steps, skirting, and connectors belong together. We label the loose sections to that layout and keep smaller fittings in closed containers beside the matching kit. If a section is attached to the building, the venue's installer assesses it first. At delivery, the loose kit goes to the assigned setup or storage area.

Who handles the venue's sound and projection equipment?

Your AV provider handles mounted or wired equipment, including disconnect, reinstall, and testing. Ask that provider to identify any portable screens or closed road cases we may carry and to label their destination. We then place those released pieces where the provider needs them without treating a live system as ordinary furniture. Coordinate the provider's access with the venue's first setup date.

What if a vendor load-in overlaps the move at the new venue?

Tell us which vendor is arriving, what door and route they need, and when their setup starts. We can group tables, chairs, and stage inventory by receiving room and set a cart route that leaves that vendor's work area open. Your events director resolves any booking or access conflict and confirms which room can accept inventory before unloading.
