How We Plan FF&E Delivery & Installation

A dealer's cartons serve a hotel or office only after each piece reaches its assigned space. Send us the dealer list and room or workstation plan. We meet the scheduled shipment at the approved receiving point, compare visible carton identifiers with that list, and flag crushed corners, torn packaging, or a missing labeled piece before it disappears into a floor load.

We then sort by destination, not unloading order. We can carry accepted pieces to guest rooms, meeting rooms, reception areas, or office stations, then place movable items to the plan. The dealer supplies product instructions and resolves wrong models, shortages, and warranty questions. Your hotel or office lead approves the final arrangement.

Packaging has its own route. We gather empty cartons, wrap, and other delivery debris as pieces are opened and can remove it under the agreed building rules, keeping corridors clear for the next delivery.

Who usually signs off
Hotel purchasing or rooms lead, or an office facilities manager, with the dealer confirming product details
Timing that works
Match the dealer appointment to the hotel's floor release or the office's furnishing schedule, and reserve the receiving dock with building management.

What typically moves

  • Hotel guest-room casegoods Cartoned nightstands, desks, and dressers are matched to the dealer list and carried to the room identifiers on your plan.
  • Lobby lounge seating Chairs and sofas are unwrapped near their placement area after the visible shipping condition is recorded.
  • Office task chairs Chair cartons are routed by workstation zone; the dealer's model labels remain available for your facilities check.
  • Conference tables Table sections and their hardware stay together for assembly under the product instructions and placement in the assigned room.
  • Freestanding reception credenzas Finished faces and corners stay protected during the carry; your floor plan determines the final position.
  • Movable equipment carts Carts are placed at the destination your team marks; the equipment vendor handles setup and functional checks.

Access and scheduling

Give us the dealer's delivery appointment, shipment list, and a contact who can decide what to do with an exception at the dock. For multiple dealers, your lead sets the receiving order. Share room identifiers before opening cartons so similar casegoods and chairs reach the right floor.

We check the path from receiving door to placement area: dock height, elevator reservation, corridor width, guest access, and any finished areas the crew must cross. A hotel may release rooms in groups while guests use adjacent corridors; an occupied office may need its meeting rooms kept available. Your building contact sets those boundaries and any quiet hours. If management asks for a Certificate of Insurance, send its requirements before the appointment is fixed. When the building permits work outside regular hours, we can discuss a fitting delivery window.

Protection and handling

At handoff, we note visible carton damage and label discrepancies against the list you provide. We open disputed cartons only at your direction. For accepted pieces, we retain destination labels, protect exposed surfaces, and carry fragile tops or glass separately. Floor and doorway protection follows the route the building approves.

We can assemble ordinary movable items when the dealer's instructions and all required parts are present. If a carton opens to reveal damage or missing hardware, we stop work on that piece, keep its parts together, and report the exception for your purchasing contact to resolve. Attached fixtures, hardwired items, and equipment commissioning remain with the dealer's installer or the appropriate trade. After placement, we collect empty packaging and carry agreed debris out by the building's designated path; your lead checks piece locations and signs off on the room plan.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Shipment discrepancies and product defects
Your purchasing contact and dealer reconcile quantities, substitutions, damage claims, and warranty decisions. We record visible exceptions and place pieces your contact accepts.
Attached fixtures and powered equipment
The dealer's installer or licensed trade mounts, connects, calibrates, and tests these items. We carry and position agreed movable components after handling instructions are clear.
Room acceptance and final styling
Your hotel rooms lead or office facilities manager checks the placement plan and approves the finished space. We reposition movable pieces as directed during the agreed work.

Not part of our work

  • Approving substitutions or filing freight and warranty claims on behalf of your purchasing team.
  • Mounting fixed fixtures, connecting building power, or commissioning equipment; the dealer's installer or licensed trade handles that work.
  • Removing old furnishings or construction waste unless those items are listed separately in the work plan.

Around San Antonio and the Hill Country

Hotel FF&E work in San Antonio centers on downtown and the River Walk, where service access runs through alleys and back-of-house docks shared with kitchens and laundry. Office furnishing projects are spread through the North Central and Northwest Side office parks along US-281, I-10, and Loop 1604. Lodges and inns around Fredericksburg and Kerrville may furnish building by building, with guest rooms spread across a property rather than stacked on floors.

FF&E Delivery & Installation FAQs

Another question? Call (830) 329-7272.

Can your crew receive FF&E directly from our furniture dealer?

We can meet a scheduled dealer delivery at your approved receiving point when you provide the shipment list, appointment details, and a purchasing contact. We compare visible identifiers and carton condition with that list before routing accepted pieces. Your contact decides how to handle a shortage, substitution, or damaged shipment under the dealer's terms.

What happens when a hotel room carton arrives damaged?

We note the visible damage at handoff and keep the carton identifier with the affected room assignment. If the piece itself is damaged when opened, we pause placement and show the condition to your rooms or purchasing lead. That person decides whether the dealer should replace it, supply parts, or release it for use; we do not make that acceptance decision.

Will you assemble office tables and remove the empty packaging?

We can assemble ordinary movable tables when the dealer supplies instructions and complete hardware. Give us the floor plan so each table goes into its intended meeting room. We gather empty cartons and wrap as work proceeds and can remove agreed packaging by the route your building specifies. Your facilities lead handles the final layout check.

Who connects fixtures or checks equipment after placement?

Your dealer's installer or the appropriate licensed trade handles mounting, connections, calibration, and functional testing. We can bring an agreed movable component to its room and position it for that person. Send the installation sequence in advance so the installer knows when the space and components will be available, and your team can confirm acceptance afterward.
